Use this workflow to get high-quality exports. This keeps files smaller, reduces duplicates, and produces cleaner spreadsheets and archives.

Step 1: Load PST file or Outlook profile
Add a task and choose PST (archive) or Profile (live mailbox).
Step 2: Choose folders (scope control)
Select only relevant folders (Project, Client, Yearly archive). Scope control improves speed and accuracy.
Step 3: Apply filters from the Filter menu
Start with Received Time, then add Subject/Body/Sender rules. Toggle Show Unique Emails and attachment filters as needed.
Step 4: Preview the result list
