Choose the right workflow

Built-in mailbox export or selective extraction?

Outlook can create a PST copy for backup or transfer. Selective extraction is useful when the task needs a smaller, filtered set of records, messages or attachments.

Where it helps

Useful when a complete mailbox export is too much.

Use selective extraction for reporting, address review, migration preparation or attachment recovery.

Mailbox reporting

Move selected message fields into an Excel-ready file for an authorized internal review or operational report.

Address-list preparation

Collect and deduplicate Outlook email addresses for verification before an approved directory or CRM workflow.

Archive and migration preparation

Save filtered messages as portable files while retaining the original PST archive and local control.

Attachment recovery

Collect documents from selected Outlook or PST folders without opening and saving every attachment manually.

Questions before you start

Trial, PST access and result questions.

What can I verify with the free trial?

Use the trial with representative source data to check profile or PST access, folder loading, filters and the result preview before purchasing a license. A license is required to save the full output.

Why can the result contain fewer addresses than messages?

Several messages may use the same address, some messages may not expose a usable address, and filters or duplicate cleanup can reduce the final count.

Will every PST file open?

The PST must be accessible to the current Windows account. A file that is damaged, password protected, already locked by another process or stored on unavailable media may need to be repaired, unlocked or copied locally first.

Can it connect directly to Gmail or another live mailbox?

No. This utility is for Outlook profiles and PST files. Use IMAP Extractor Pro when the source is a supported live Gmail, Yahoo, Outlook.com or IMAP mailbox.
