Define the data-extraction job

Decide which source files and data fields belong in one result.

  1. Identify the business purpose and authorized source collection.
  2. Choose the fields required: emails, phone numbers, URLs, or a custom pattern.
  3. Create a working copy of important source files.
  4. Separate unrelated document sets into different jobs.
  5. Choose a secure local output folder.

Add files and folders

Build a controlled local queue.

  1. Choose Add files or Add folder.
  2. Enable subfolder processing only when required.
  3. Select the supported file extensions to scan.
  4. Review the queue and remove unrelated files.
  5. Check access to network, removable, or archived locations before starting.

Choose standard data fields

Collect only the field types needed for the result.

  1. Enable email extraction for address patterns.
  2. Enable phone extraction and choose the expected country context where available.
  3. Enable URL extraction for web addresses and links.
  4. Choose duplicate and blank-value handling.
  5. Run a small sample to confirm the field definitions fit the source.

Configure a custom pattern

Use a tested expression for IDs, references, or other repeatable text.

  1. Describe the exact values the pattern should match.
  2. Enter the supported custom expression or pattern.
  3. Test it against a small file containing valid and invalid examples.
  4. Tighten the pattern when it captures surrounding punctuation or unrelated text.
  5. Save the rule with a clear name only after validation.

A broad pattern can generate a large, misleading result. Always validate custom extraction against known examples.

Run extraction and review the result

Investigate errors and false matches before export.

  1. Start extraction and monitor processed files, matches, and failures.
  2. Review unreadable or unsupported files.
  3. Filter results by type or source file.
  4. Remove duplicate, malformed, irrelevant, or sensitive records.
  5. Compare a sample with the original source.

Export structured data

Create a usable local output for the authorized next step.

  1. Choose whether the export should combine fields or separate them by type.
  2. Select the available spreadsheet, CSV, or text format.
  3. Save to a new destination without overwriting source files.
  4. Open the export and verify headers, encoding, row count, and sample values.
  5. Apply retention and access controls to the final output.
