- Remove unrelated, confidential, encrypted, or unsupported files.
- Check that the current Windows account can read every selected folder.
- Estimate the source volume before processing a large network location.
Add files and folders
Build a local source queue without uploading the documents.
- Open File Email Extractor.
- Choose Add files for selected documents or Add folder for a batch.
- Enable subfolder scanning only when nested content is part of the task.
- Review the file list and remove accidental additions.
- Choose the supported file types that should be included.
Set extraction and cleanup rules
Define what should count as a usable email address.
- Choose duplicate removal for a unique-address output.
- Add domain, keyword, or file filters where the job requires them.
- Use exclusion rules for known placeholders or unwanted domains.
- Keep the first test broad enough to expose malformed source patterns.
- Save reusable settings only when they apply to repeated work.
Run the file scan
Process the local queue and review unreadable files separately.
- Start extraction and keep source storage connected.
- Monitor files processed, matches found, and errors.
- Open the error list for protected, damaged, or unsupported files.
- Retry only after correcting the source or access problem.
- Save the completed result before starting another queue.
Review and export the email list
Pattern matches need human validation before use.
- Sort and filter the collected addresses.
- Remove malformed, placeholder, internal, or irrelevant records.
- Check representative records against their source files.
- Choose the required Excel-friendly, CSV, or text output.
- Open the export and verify count, encoding, and column placement.
Use extracted addresses responsibly
A visible address is not automatic permission for outreach.
- Document the lawful and authorized purpose of the extraction.
- Keep only the fields required for that purpose.
- Protect the export and limit access.
- Do not use the list for unsolicited or deceptive communication.
- Delete the data when the purpose or retention period ends.

Why was an address missed?
The file may be scanned, protected, damaged, unsupported, or contain an unusual address format. Check the source and error list.
Why did the utility find false matches?
Document text can contain examples, broken strings, or OCR errors that resemble addresses. Review and clean the result before export.
