Install and open the utility
Prepare a Windows computer with access to the mailbox source.
- Download the Outlook Email Extractor package from the product page.
- Scan the downloaded package according to your organization security policy.
- Extract or install the application in a folder you are authorized to use.
- Open the application and complete trial or license activation when prompted.
- Close Outlook only if the application requests exclusive access to a PST file.
Add an Outlook profile or PST file
Choose the source that contains the mailbox records you are authorized to process.
- Choose Add profile to work with a configured Outlook profile, or Add PST for an archive file.
- Select the correct profile or browse to the PST file.
- Wait for the mailbox folder tree to load.
- Choose the folders required for the task and leave unrelated folders unselected.
- Confirm the source before starting a large extraction.
Work from a copy of important archive files when the organization requires preservation of the original evidence or backup.
Choose the mailbox data to collect
Limit extraction to the fields and messages needed for the authorized purpose.
- Choose whether to collect sender, recipient, CC, BCC, subject, message, or attachment-related data.
- Select email-address extraction when the goal is a contact list.
- Select full-message or attachment options only when the output requires them.
- Set duplicate handling before processing repeated folders or archives.
- Check the planned destination has enough free disk space.
Apply mailbox filters
Reduce processing time and produce a more relevant output.
- Set a date range when the request covers a defined period.
- Add sender, recipient, subject, folder, or keyword filters where available.
- Use include and exclude rules carefully and test them on a small folder.
- Review the filter summary before running the full mailbox.
- Clear old filters before beginning an unrelated project.
Run and monitor extraction
Process the selected mailbox scope without interrupting the local source.
- Start extraction and keep the application open.
- Monitor folder, message, match, and error counters.
- Avoid moving the PST file or disconnecting its storage during processing.
- Review any skipped or unreadable message reported by the application.
- Save the session or results before closing a large completed job.
Review and export the result
Clean the output before it enters another system.
- Preview the collected rows, messages, or attachments.
- Remove duplicates and irrelevant records.
- Choose the required Excel-friendly, CSV, text, message, or attachment output.
- Select a new destination folder and export.
- Open the exported file and verify columns, encoding, count, and sample records.
Handle mailbox data responsibly
Mailbox access does not automatically authorize every later use.
- Confirm ownership, authorization, and the business purpose before extraction.
- Limit the source folders and fields to what the task requires.
- Protect exported files with appropriate access and retention controls.
- Do not use extracted addresses for unsolicited outreach.
- Delete temporary output when the authorized task and retention period are complete.

Why is my Outlook profile not listed?
Confirm that Outlook is configured for the same Windows user and architecture expected by the utility. Restart both applications after adding a new profile.
Why will a PST file not open?
The file may be in use, damaged, password protected, on unavailable storage, or inaccessible to the current Windows account. Try a verified local copy.
Why are there fewer addresses than messages?
Messages may repeat the same address, lack a usable address, fall outside filters, or contain fields the selected extraction mode does not collect.
