Create your first project

Open the Studio, add a title and client, then paste text or upload a supported file.

  1. Open Word Count Studio from Workspace.
  2. Enter a clear project title and choose a saved client or Self.
  3. Paste source text or add the supported files for the same job.
  4. Review extracted text and the calculated metrics before continuing.
Keep in mind

Keep unrelated client jobs in separate projects so quotes and invoices retain clean context.

Choose counting and pricing rules

Set the billable unit and commercial values that match the service.

  1. Choose the billing unit used for this project.
  2. Enter the unit rate and currency.
  3. Apply any discount or tax that belongs in the estimate.
  4. Check the billable units and total before saving.

Save and manage project records

A saved project preserves source, counts, client, and estimate.

  1. Save the reviewed project.
  2. Open Projects to search or reopen earlier work.
  3. Use Edit in Studio when the source or commercial assumptions change.
  4. Open the project record to review count breakdown and source items.

Prepare and send a quotation

Create a quote from the saved project and refine its client-facing wording.

  1. Choose Create quote from the project.
  2. Add scope notes, delivery details, exclusions, and terms.
  3. Preview the PDF before download or email.
  4. Mark the quote Sent, Accepted, or Rejected as the decision changes.

Convert accepted work into an invoice

Continue from the quote instead of rebuilding the commercial record.

  1. Open an accepted quotation.
  2. Choose Convert to invoice.
  3. Review issue date, due date, totals, notes, and terms.
  4. Download or email the PDF, then update the invoice status when paid.

Set up branded documents

Configure the company identity used on quotation and invoice PDFs.

  1. Open Profile from Word Count Studio.
  2. Add company details, logo, contact information, and tax number.
  3. Set quote and invoice prefixes, payment terms, and due days.
  4. Choose a template and preview it before saving.

Why is a file count different from another application?

Applications may treat hidden text, punctuation, fields, line breaks, and page calculations differently. Review extracted text and use one consistent rule for commercial work.
